WELCOME TO THE 2007 HEREFORD & WORCESTER OPEN FENCING TOURNAMENT

Information for all who will be attending the event.

Please read, especially if you have not been before or have not yet enterted.

General. As last year we expect up to 300 fencers attending each day and we aim to do our best to keep the competitions running smoothly and finish the finals around 7 p.m.

Programme. We have a plan (see below) which makes the best use of our pistes. When we get to the DE stages we try to keep you on the same piste and to have no waiting between the DE rounds. If you have not been before, please do study the programme especially the bit about doing fights in order and ensuring that sheets are returned promptly to control. The plan may need to be adjusted as the day proceeds. Whatever happens, the first DE rounds on a limited number of pistes take an hour or two to complete so most fencers will have a good lunch break. Enjoy the break but do keep an eye on progress and do get ready for your bout before the previous one is finishes.

Safety. Emergency contact details are posted in the entrance area and Thorns staff will normally be available in the front entrance office. The manager is Mr Nigel Fisher. St Johns Ambulance will be stationed just inside the main Sports Hall throughout the tournament. Please keep fire exit doors, stairs and corridors free from baggage. Additional baggage space is available in a squash court located to the right of the main entrance. All spectators should keep clear of the pistes and refereeing areas when fencing is in progress.

Check-in. Please note our check-in procedures (see below) and on arrival have your membership licence ready to show to our volunteers. The aim is to produce an accurate list quickly of those present, so that fencing can start. on time.

Referees We always want referees, so if you are available to referee, through some of the DE stages or finals please register with us at control. We can offer some refreshments and expenses. Also, everyone who referees should fill in the activity register.

Volunteers We rely on volunteers to set up from 8:30 p.m. on Friday evening and to take down on Sunday afternoon/evening - just turn up and report to John Haynes. We also need some volunteers on the day so if you have skills that can help us please let John Haynes know. If we accept your offer, you will be expected to wear a coloured tee-shirt!

CHECK-IN PROCEDURES

1. There will be two main queues, one for CHECK-IN and one for sorting out MEMBERSHIP and ENTRY QUERIES and any outstanding fees. At busy times the Check-in table will have two queues split alphabetically.

2. If you have both

  • a valid BFA Full or Junior membership card (or equivalent SAFU,WAFU,NIFU, or other National card but not FIE, BAF or Musketeer licences)
  • and have paid your entry fee in full including any late entry additions .

then go direct to the CHECK-IN queue

3. If you do not have a valid current membership card, or you owe us fees please go first to the MEMBERSHIP/FEES table to PAY and OBTAIN A RECEIPT. Then join the end of the CHECK-IN queue and show your receipt at the CHECK-IN.

4. After CHECK-IN do please check your details on the list on the notice board. If you have corrections to your name, club, ranking or category (vet, junior, cadet), please go back to the MEMBERSHIP and ENTRY QUERIES table and request us to update your details.

5. Finally, while we do everything we can to avoid errors and to start fencing, as soon as practicable, we need you to help. It is your responsibility to listen for the announcements after the close of check-in and TO ENSURE that your name is on the list of FENCERS PRESENT, which will be posted for about 5 minutes. That is the one we use to draw the poules. If you are not on it when the list of poules is put up, you will almost certainly not be allowed to compete.

Draft PROGRAMME for Saturday 1st December 2007.

We will be running four competitions ME, WE, WS (with prizes for all who reach the L8 in each weapon and for the best Cadet, Junior,Veteran and Best in County) and an Epee plate competition.

1. At soon as practicable after 08:30 when the ME Check-In closes, the list of fencers present will be put up. You need to check you are on it. The first round of ME will run on all available pistes. There will be one round of poules of 6 or 7 and your piste number will be the same as your poule number.

2. ME will then be cut to 128 and the tableau split into 8 and will run down to the last one on each of pistes 1 to 8. The L128 round takes about two hours so yes you might have a bit of wait either before or after your L128 fight but that is your chance to get some lunch. The good news is that the L64 fights continue on the same piste without delay as soon as the L128 fights are finished and the waiting times become shorter. Please do all bouts in the correct order (i.e. Fight G3 then G4) and as soon as bouts are complete could the winner please ensure the fight sheet is returned to control. When we have a pair of bout results we can then produce the fight sheet for your next bout.

3. ME fencers who are eliminated after the poules are invited to take part in a Plate competition. Unfortunately you will have to wait until pistes come free later in the day. Your seeding from the main event will be used seed you in a DE tableau. Please check in for the plate competition by 12.30 p.m. at the check in desk. Note the Plate competition is free but is not open to those who have a DE in the main event.

4. At soon as practicable after 10:00 when WE check-in closes, the list of fencers present will be put up. You need to check you are on it. The first round of WE will run on pistes 9 to 21 as soon as the piste becomes free. There will be one round of poules of 6 or 7 and your piste number will be announced and indicated on the noticeboard. In view of the large increase in entries for WE the event will require two waves with the poules of six back to back .

5. All WE will go through to an incomplete L128. The bouts will be take place on pistes 9 to 12 and across the remaining pistes when WS poules finish.

6. The L64 WE tableau will be split into 8 and will run down to the last two on each of pistes 9 to 16 before combining for the L16 fights on pistes 9 to 12. The L64 round takes about 1 hour and a quarter so you can expect a wait either before or after your L64 fight but that is your chance to get some lunch. The good news is that the L32 fights continue on the same pistes without delay as soon as the L64 fights are finished and the waiting times become shorter. IPlease do all bouts in the correct order (i.e. Fight F3 then F4) and as soon as bouts are complete could the winner please ensure the fight sheet is returned to control. When we have a pair of bout results we can then produce the fight sheet for your next bout.

7. At soon as practicable after 12:30 when the WS Check-In closes, the list of fencers present will be put up. You need to check you are on it. The first round of WS will run on pistes 13 to 21 when they become available. There will be one round of poules of 6 or 7 and everyone will be promoted to the DE.

8. The WS tableau will be split into 4 and will run down to the last one on each of pistes 17 to 20. Please do all bouts in the correct order (i.e. Fight F3 then F4) and AS SOON AS bouts are complete could the winner please ensure the fight sheet is returned to control. When we have a pair of bout results we can then produce the fight sheet for your next bout.

9. The L8, L4 and finals at each weapon will proceed as soon as fencers and referees are ready. Prizes will be presented immediately following the final at each weapon.

10. Have a safe trip home.

We will be running three competitions MF, WF, MS (with prizes for all who reach the L8 in each weapon and for the best Cadet, Junior,Veteran and Best in County).

There will be one round of poules of 6 or 7 and your piste number will be the same as your poule number.

2. The incomplete L128 MF tableau will be split into 8 and will run down to the last one or two on each of pistes 1 to 8. Note: The L16 bouts mayneed to be combined onto 4 pistes in order to free up pistes to enable the WF to catch up. The L128 round can take about two hours so you can expect a bit of wait either before or after your L128 fight but that is your chance to get some lunch. The good news is that the L64 fights continue on the same piste without delay as soon as the L128 fights are finished and the waiting times become shorter. Please do all bouts in the correct order (i.e. Fight G3 then G4) and as soon as bouts are complete could the winner please ensure the fight sheet is returned to control. When we have a pair of bout results we can then produce the fight sheet for your next bout. If there are spare pistes we will arrange for some L128 and L64 fights to be done on them in order to speed things up. However, please keep abreast of progress on the piste to which your 1/8th of the tableau has been assigned.

3. At soon as practicable after 09:30 when WF check-in closes, the list of fencers present will be put up. You need to check you are on it. The first round of WE will run on pistes 9 to 21 as soon as the piste becomes free. There will be one round of poules of 6 or 7 and your piste number will be announced and indicated on the noticeboard.

4. If necessary WF will be cut to 56 going through to a DE and the remainder fencing in a Plate DE competiton using the seedings from the main competition poules.

5. The incomplete L64 WF tableau will be split into 4 and will run down to the last one on each of pistes 9 to 12. The L64 round takes about two hours so you can expect a wait either before or after your L64 fight but that is your chance to get some lunch. The good news is that the L32 fights continue on the same piste without delay as soon as the L64 fights are finished and the waiting times become shorter. Please do all bouts in the correct order (i.e. Fight F3 then F4) and as soon as bouts are complete could the winner please ensure the fight sheet is returned to control. When we have a pair of bout results we can then produce the fight sheet for your next bout. If there are spare pistes and referees we will arrange for some L32 and L16 fights to be done on them in order to speed things up. However, please keep abreast of progress on the piste to which your 1/4th of the tableau has been assigned.

The first round of WS will run on pistes 13 to 21 when they become available. There will be one round in two waves of poules of 6 or 7 and everyone will be promoted to the DE.

7. The MS tableau will be split into 8 and will run down to the last one on each of pistes 13 to 20. Please do all bouts in the correct order (i.e. Fight F3 then F4) and AS SOON AS bouts are complete could the winner please ensure the fight sheet is returned to control. When we have a pair of bout results we can then produce the fight sheet for your next bout.

8. The L8, L4 and finals at each weapon will proceed as soon as fencers and referees are ready. Prizes will be presented immediately following the final at each weapon.
